Enrollments and Pauses

An enrollment puts a student on a billing plan from a start date. Manage enrollments on the Enrollments tab of your billing dashboard. Owners and admins enroll, pause and cancel.

Each row shows the student, plan, type, amount, start and end dates, and status. Use Show to list Active & Paused (the default), Active Only, Paused Only, Cancelled, Expired or All.

Enrolling a Student

  1. Click New Enrollment.
  2. Choose the Student and an active Billing Plan.
  3. Choose the Start Date, and an End Date if you know it.
  4. Click Enroll.

A student can have more than one enrollment, for example a piano subscription and a violin subscription. If the student already has an active enrollment on the same plan, Trio warns you. Click Confirm & Enroll to add it anyway.

The First Month of a Subscription

A subscription bills its start month in full. There is no charge for part of a month. If you enroll a student after this month's billing run, the next run bills next month only. To bill the start month, run Generate Invoices for this month on the Invoices tab. See Monthly Billing Runs.

Changing or Ending an Enrollment

For an active or paused enrollment, the Actions menu has:

  • Edit dates - change the start or end date. Trio asks you to confirm, because a new start date changes which lessons and months bill. Invoices already made do not change.
  • Cancel - end the enrollment. The End date is today. You can choose an earlier date, back to the start date, if the student stopped some time ago. Lessons up to the end date still bill on the next run. Invoices already sent do not change. To end on a future date, use Edit dates.

Pausing for a Summer Break

Use a pause to stop billing for a break, such as summer or a long holiday, without ending the enrollment.

  1. Open the enrollment's Actions menu and choose Pause.
  2. Set Pause from, the first paused day. It can be today or a later date, so you can set a summer pause in spring.
  3. Optionally set Resume on, the first day billing starts again. For a summer break, choose Pause from June 1 and Resume on September 1. Leave it empty to resume by hand.

Before the pause starts, the row shows Pause from and the date. During the pause it shows Paused, and Resumes with the date when you set one. Billing starts again on the Resume on date with no action from you.

What a Pause Bills

The pause dialog gives the rule: "Paused days are not billed. A month bills in full when any day of it is not paused."

  • Subscriptions skip a month only when every day of it is paused. With Pause from June 1 and Resume on September 1, Trio skips June to August and bills September. With Resume on September 15, September still bills in full.
  • Per-lesson and package plans skip by day. A lesson dated inside the pause is not billed under the plan, and a package does not use a lesson for it.
  • Pay-to-book plans do not hold a booking dated inside the pause for payment.

Lessons on the Calendar During a Pause

A pause does not cancel or move lessons. A lesson left inside the pause bills as a one-off lesson when it has its own price. A lesson with no price gets a "no price" warning on the billing run. With Send the clean ones, hold the rest, that warning holds the family's invoice as a draft.

To take the lessons off the calendar, cancel them with This and all future lessons, or end the series. Neither gives makeup credits. See Managing Lessons.

Changing a Pause

  • Edit pause - change the dates. After the pause starts, only Resume on can change, to today or later.
  • Resume - end a pause now. Today bills again.
  • Cancel pause - remove a pause that has not started.

An enrollment has one current or upcoming pause at a time. Past pauses stay on record and keep their months unbilled. A pause cannot start in the past, and invoices already made do not change. A pause belongs to one enrollment: if you move the student to a new plan, pause the new enrollment again.
