A summer break touches billing, the calendar and family booking. This guide gives the steps in order. For the detail of a pause, see Enrollments and Pauses; for ending a series, see Recurring Lessons. Owners and admins do steps 1 and 5.
Pause billing for each student. On the Enrollments tab of your billing dashboard, open the student's Actions menu and choose Pause. Set Pause from to the first day of the break, and Resume on to the first day that billing starts again.
The dialog gives the rule: "Paused days are not billed. A month bills in full when any day of it is not paused." For a monthly plan, start and end the pause on the first day of a month, for example Pause from June 1 and Resume on September 1. See Enrollments and Pauses.
Stop the weekly lessons. A pause stops billing only. The lessons stay on the calendar, and Trio keeps making new ones. For each weekly series, do one of these:
If a later lesson is on an invoice or has a note, a practice assignment, a package lesson, attendance or a makeup credit, an End Date change saves nothing and lists those lessons. When you bill in advance, a summer lesson can already be on an invoice. Recurring Lessons gives three ways to continue.
A cancel with This lesson only can give a makeup credit for each lesson: with the reason Teacher cancellation, the Issue makeup credit switch starts on. If you cancel single lessons, check the switch in each dialog.
Block your booking times. Open your availability and click Add Override. Choose Repeating, set the Start Date and End Date of the break, and select every day you teach under Repeat On. Leave Available on these days off. Click Continue, check the summary, and click Confirm.
Families cannot book you on those days. Booked lessons stay: "Saving will not cancel or move them."
Stop the group classes. Open the first class of a repeating series that falls in the break. Choose Cancel, then This class and all later classes. Trio cancels those classes and stops the series. Each family gets one notice. Cancelled classes are not billed and give no makeup credits. To end the series on a date instead, open the last class before the break, choose Edit, then This class and all later classes, and set the end date. See Repeating Group Classes.
Tell families. Send one group message with the break dates and the restart date. See Group Messages.
Start again in the fall.
The availability override ends on its End Date, and families can book again.
Deactivate the student instead. This stops their series, removes their future lessons and ends their billing plans. See Managing Students.
