A recurring lesson is a series: the same student, teacher and time on a fixed pattern. To schedule, move or cancel one lesson, see Managing Lessons.
Setting up a series
- On the Calendar, click Schedule Lesson and choose the student, teacher, date and start time.
- Click Add recurrence. The Recurrence Settings dialog opens.
- Choose a Frequency: Weekly, Biweekly (every two weeks) or Monthly.
- Choose the Day of Week.
- Set an End Date, or leave it empty for a series with no end.
- Check the next dates in the dialog, save it, and click Schedule Lesson.
Monthly repeats on the same weekday of the month, for example the second Tuesday. For Monthly, the dates in the dialog can differ from the ones Trio makes, so check the calendar after you save.
Trio checks for conflicts on the first date only. The Price field and Use Makeup Credit apply to a one-time lesson only; a series saves neither.
Trio keeps about 90 days of lessons on the calendar. As time passes, it adds more, so a series with no end date always reaches about three months ahead.
Making a One-Time Lesson Repeat
You cannot add recurrence to a lesson after you create it. When you edit a one-time lesson, the Edit Lesson form does not show Add recurrence. To replace a one-time lesson with a weekly series:
- Open the one-time lesson and choose Cancel Lesson. Owners and admins can choose Delete Lesson instead.
- Click Schedule Lesson, choose the same student, teacher, date, and start time, and click Add recurrence.
Cancel or delete the one-time lesson first. While it is still scheduled, the new series clashes with it ("Teacher is already teaching another lesson") and the form does not save. To keep the one-time lesson, start the series on the next week's date instead.
Changing a Recurring Lesson
To change a recurring lesson, click any instance and choose:
- Edit this instance only - changes only that lesson. It stays in its series: if you move it to another date or time, Trio remembers the slot it was made for and never makes a second lesson on the old date.
- Edit all future instances - changes this lesson and every later scheduled lesson in the series. Earlier lessons stay as they are. This form also lets you change or remove the recurrence.
When you edit all future instances:
- Lessons change in place. Their notes, practice assignments and invoice lines stay with them.
- A later lesson that you moved on its own moves back onto the new day and time.
- A cancelled lesson stays cancelled, and a completed lesson stays as it is. Trio makes no new lesson for either one on the new day. A date you skipped stays skipped on the new day.
- The lesson you start from can move only to a date after the series' previous lesson and before its next lesson. To move it further, move one lesson with This lesson only, or end the series and start a new one.
- If the change would remove a lesson that is on an invoice or has a note, a practice assignment, a package lesson, attendance or a makeup credit, Trio changes nothing and lists those lessons. Then do one of these:
- Extend the series end date past the listed lesson.
- Start the change from the lesson after the last listed one.
- Move the listed lesson with This lesson only.
- Lessons with none of these records that have no place in the new pattern (for example every second week after a change to every two weeks) are removed, and Trio tells you how many.
An Edit all future instances change sends the family no notice, not even for the lesson you opened, so tell them yourself. To move the series by drag, choose This and future (see Managing Lessons).
Removing the recurrence
Open a lesson, choose Edit all future instances, and click Remove next to the recurrence. When you save, every later lesson in the series is taken off the calendar. They are removed, not cancelled, so Show cancelled does not show them. The lesson you opened stays as a one-time lesson, earlier lessons stay as they are, and the family gets no notice.
Ending a series
- End on a date. Open a lesson, choose Edit all future instances, and set the End Date. Later lessons that have no records are removed. A lesson with records stops the change, as described above.
- Cancel the rest. Open a lesson, choose Cancel Lesson, then This and all future lessons. This lesson and every later scheduled lesson are cancelled, and the series ends. This choice issues no makeup credits. The family gets one cancellation notice.
- Delete the rest. Owners and admins can choose Delete Lesson, then Delete this and all future lessons.
- Deactivate the student. Deactivating a student stops all of their series, deletes their future lessons and ends their billing plans.
To stop lessons for the summer, end the series on the last lesson before the break, and schedule a new series when lessons start again. If the family pays through a billing plan, pause the plan too (see Billing Plans).
