Repeating Group Classes

By Trio Team · Updated

A repeating group class is a series of classes on the same day and time, for example a theory class every Tuesday for a term. Each class of the series is a normal group class with its own roster, so attendance, reminders and billing work class by class.

Making a Repeating Class

In the Create Group Lesson form, choose Add recurrence. Choose how often the class repeats (every week, every two weeks, or every month on the same weekday of the month), the day, and an optional end date. The first class is the first chosen day on or after the date you picked, and it must fall within the next 90 days.

Trio makes the classes for the next 90 days at once, then adds classes each week. The success message says how many classes Trio made. In the list and on the calendar, each class shows its repeat rule, for example "Weekly on Tuesdays, until Dec 15, 2026".

Adding and Removing Students

On a class of a series, Add Student asks which classes:

  • This class and all later classes (the default) - the student joins this class, every later class, and every class Trio adds later. Earlier classes do not change. If any of those classes is full, nobody is added and the dialog lists the full dates.
  • This class only - the student joins this one class.

Remove asks the same question. This class and all later classes takes the student off this class, every later class, and every class Trio adds later; earlier classes keep the student and are billed. This class only takes them off this class; they stay on later classes.

Changing the Series

On a class of a series, Edit first asks This class only or This class and all later classes.

  • This class only changes one class. Moving it sends enrolled families a reschedule notice.
  • This class and all later classes changes this class and every later class: the name, description, time, duration, day, how often it repeats, the end date, the location, the room, the capacity and the price. Classes keep their rosters, and a class that you moved on its own moves to the new pattern too. Families get no notice; their reminders move with the classes.

A class with no place in the new pattern (for example, after an earlier end date) is removed. If such a class has a note, attendance or an invoice line, Trio changes nothing and lists the dates.

Once students are in the series, you cannot make it repeat more often (for example, every two weeks to every week). Trio shows: 'This change would add classes between classes that already have students.' To do this, cancel the series and make a new one. You can still change the time, the day, the room, the price, or the end date.

You cannot remove the repeat in this edit. To stop a series, cancel it or set an end date.

Cancelling the Series

On a class of a series, the cancel dialog asks This class only or This class and all later classes. This class and all later classes cancels this class and every later class with the reason you choose, and stops the series, so Trio makes no more classes. Each family gets one notice for the series, not one per class. Cancelled classes are not billed and give no makeup credits.
