Moving Students to Another Teacher

This guide covers the whole move: the primary teacher, the lessons, the group classes, and a teacher who leaves your studio. For the student profile, see Managing Students; for roles and seats, see Team Management.

What the primary teacher sets

Each student has one primary teacher. It sets:

  • the teacher the family books with in the parent portal;
  • the teachers the family can start a message to (unless Open messaging is on for a teacher);
  • who gets the family's text replies, and who is told about a new student, practice videos and package balances;
  • which teacher can edit the student and read all of their lesson notes;
  • the students on that teacher's dashboard, Engagement page and Week in Review.

Owners, admins and the student's current primary teacher can change it.

Move one student

  1. Change the primary teacher. Open the student's profile, click Edit, and choose the Primary Teacher. To move several students, select them on the Students page and click Reassign Teacher (owners and admins). It applies at once.

  2. Move the weekly lessons. Scheduled lessons keep their teacher: a lesson's teacher cannot change. Do one of these:

    • click the last lesson the old teacher keeps, choose Edit Lesson, then Edit all future instances, and set the End Date to that day;
    • click the first lesson the new teacher takes, choose Cancel Lesson, then This and all future lessons. This gives no makeup credits, and the family gets one notice.

    Then click Schedule Lesson and make a new series with the new teacher (Add recurrence). If a later lesson is on an invoice or has a note, a practice assignment, a package lesson, attendance or a makeup credit, an End Date change saves nothing and lists those lessons. Recurring Lessons gives three ways to continue.

  3. Move group classes. A class keeps its teacher too.

    • The whole class: open a class of the series, click Cancel, and choose This class and all later classes. Make a new class or repeating class with the new teacher and add the students.
    • One student: on a class of the series, click the X next to the student and choose This class and all later classes. Then add them to a class of the new teacher.

    See Repeating Group Classes.

  4. Check billing. An enrollment belongs to the student and the plan, not to a teacher, so billing does not change. When you make the new series, choose the same plan under Billing.

  5. Tell the family. An End Date change sends no notice. Send a message with the new teacher's name and the first lesson date.

When a teacher leaves

  1. Move their students first. On the Students page, filter by Teacher, select the students, and use Reassign Teacher. Then end their weekly series and group classes and make new ones, as above. To find their lessons, click their name in the Filters bar of the Calendar.

  2. Deactivate the teacher. In Studio Settings, open Team, then the teacher's Actions menu, and choose Deactivate. Only an owner can do this. The dialog says: "[Name] will lose access to your studio. Their history is kept. To re-activate them later, turn on Show inactive in the team list."

    Deactivating changes nothing for students, lessons or group classes, and their weekly series keep making lessons. So do step 1 first. You cannot deactivate yourself or the last owner.

  3. Seats. The teacher's seat is freed, and Trio updates the seat count on your subscription. See Trio Plans and Your Subscription.

  4. Bring a teacher back. Turn on Show inactive, open the teacher's Actions menu and choose Re-activate (owners and admins). On the Free plan, upgrade first: the Free plan includes one team member. Students do not move back on their own.
