Makeup Credits

A makeup credit lets a student make up one cancelled lesson. This article follows a credit from start to end: where it comes from, where you see it, how it is used and when it expires. The policy settings that decide each cancellation are in Cancellation Policies. Makeup credits work on every Trio plan: Free, Pro and Max.

How a Family Gets a Credit

Every credit comes from one cancelled lesson. When you cancel a lesson, the Reason you pick decides the outcome, not the person who clicks:

  • Teacher cancellation - the student gets a credit. It expires after 90 days.
  • Every other reason, Illness too - your cancellation policy decides. When the family gives enough notice, the student gets a credit with the policy's expiry. A late cancellation, or a policy that gives no credits, gives no credit. A policy can also limit how many unused credits a student can hold.
  • No policy applies - no credit.

These cancellations give no credit:

  • A lesson on a package plan. The policy decides if the family keeps the prepaid lesson or uses it. See Lesson Packages.
  • A lesson that already happened.
  • This and all future lessons on a series.
  • A lesson that a family booked and has not paid for yet (pay to book).
  • A cancelled group class.

A reschedule moves the lesson to a new time and gives no credit.

Owners, admins, teachers and staff can cancel lessons. For the cancel steps, see Managing Lessons.

Give a Free Makeup Lesson

To give a family a makeup lesson for a lesson you cancel, pick Teacher cancellation as the Reason, or turn on Issue makeup credit in the cancel dialog. A credit you give with the switch expires after 90 days. For a lesson with no price, the line under the switch reads "Student can reschedule a free lesson".

The switch is hidden for a lesson in the past, a package lesson, an unpaid lesson that a family booked and must pay for first, and This and all future lessons.

See a Student's Credits

Open the family from your families list. The Makeup Credits card lists each student with:

  • Available credits - the number of unused credits.
  • Total value - what the unused credits are worth. A credit is worth the price of the cancelled lesson.

When a credit expires within 7 days, the card shows a warning with the number of credits. Owners, admins, teachers and staff see the card. Only owners, admins and teachers can use a credit when they schedule.

Use a Credit When You Schedule

  1. Schedule a new lesson for the student from the Calendar.
  2. When the student has an unused credit, Use Makeup Credit shows. Pick a credit. Each credit shows its expiry date.
  3. Click Schedule Lesson.

Trio marks the lesson as a makeup lesson with a $0 charge. Use Makeup Credit is in the new lesson form only, and a credit works on a one-time lesson only. When you also add recurrence, the credit stays unused.

Families Use Credits When They Book

When your studio lets families book lessons, the last booking step shows Use makeup credit with the number of credits available. Trio uses the credit that expires first. See the family articles Booking a Lesson and Rescheduling, Canceling & Makeup Credits.

When Credits Expire

Each credit has an expiry date. Trio tells the family 7 days before a credit expires, and again when it expires. An expired credit cannot be used.
